Stewart Homes, a leader in high quality residential group care for medically fragile and developmentally disabled children and adults, seeks an experienced Director of Finance and Administration to be a strategic partner and member of our senior team.

Reporting to the Executive Director, the Director of Finance and Administration will be a hands on and participative manager responsible for providing leadership and direction to the management team and day to day management of the finance, administration, property management and IT functions of the organization.

The Director of Finance and Administration will partner with the Executive Director of Stewart Homes in strategic decision making and managing key operations. At Stewart Homes, we believe that medically fragile and developmentally delayed children and adults can receive complex 24 hour care without missing out on the warmth and comfort of living in a home setting. In operation for 44 years, Stewart Homes 220+ employees provide care for over 80 residents at our 11 sites in Peterborough and Pickering. This is a tremendous opportunity for a finance and operations leader to strengthen the management team of a well-respected, accredited provider of high-quality residential group care.

Major Responsibilities

Working with shareholders and other members of the management team mainly from our head office in Peterborough, the Director of Finance and Administration will:

  • Oversee all corporate financial operations and effectively communicate critical financial matters to the Director, and to Stewart Homes’ Board of Directors; and provide proactive, transparent and in-depth financial analysis and recommendations.
  • Establish and implement internal controls, financial policies and procedures, property maintenance plans, and administrative and IT systems to ensure that the organization’s day to day operational activities are efficient, and in line with strategic goals and budgetary allocations.
  • Analyze and present financial reports in an accurate and timely manner; clearly communicate monthly and annual financial statements, and oversee accounting for Stewart Homes and related real estate company.
  • Lead the application and reconciliation process for various funding initiatives (CRRF, Permanent Wage Enhancement, Worker Income Protection Benefit, etc.).
  • Coordinate and lead the annual review process, and liaise with external accountants, the Director, and to the board of directors. Assess and make recommendations for necessary changes.
  • In conjunction with the Director, oversee annual budgeting and planning process, including compensation planning, property maintenance planning for 12 buildings, and providing spending guidelines, coaching and advice for management team; administer financial plans and budgets; monitor progress and keep Director abreast of the organization’s financial status.
  • Ensure that finance, administration and IT initiatives are evaluated and that recommendations are developed and implemented to continuously improve our service.
  • Manage organizational cash flow and forecasting.
  • Manage day to day operation of the Finance and Administration department including delegating bookkeeping and office management responsibilities, overseeing accounts payable, accounts receivable, purchasing, bank and petty cash reconciliations and expense reporting. Establish an appropriate system for collections and ensure that billing and collections schedule and process is adhered to.
  • Work with the Director and management team to proactively eliminate financial and legal risk. Update and improve Risk Management Plans.
  • Ensure the organization’s assets are protected.
  • Ensure organization has adequate insurance (e.g. Officer, General Liability, Property, Vehicle, etc).
  • Ensure that finances are managed in accordance with all applicable laws and regulations; including those required for MCCSS licensing, and accreditation (CARF).
  • Liaise with company bank account managers, and manage corporate banking loans, mortgages.
  • Manage resident trust accounts, establish and implement process to ensure Stewart Homes residents have applied for and are receiving all available funding.
  • Ensure that the organization makes all required government remittances (e.g.: EI, CPP, Income Tax, Corporate Tax, EHT)
  • Working with the Executive Director, coordinate and lead the MCCSS rate review process.
  • Oversee and aid in the management and procurement of PPE Inventory.
  • Working with the Executive Director, play a key role in Strategic Planning, Accreditation Activities
  • Maintains professional conduct, confidentiality and ethical standards.
  • Routinely visit residences in Peterborough and Pickering, inspect programs, meet staff and residents

Qualifications
Experience

  • 3 -5 years prior experience as a Finance Director or Controller in similar role with similar type and size of organization (owner-operated, private organization)
  • 3-5 years prior experience in financial management (senior related accounting and controllership duties), in particular in the development, monitoring and reporting on the financial status of the organization, and its strategic initiatives.
  • 3 years prior experience managing administrative and IT functions
  • 3 years prior experience managing staff
  • 3 years prior experience developing, drafting and implementing policy and procedures
  • Prior experience overseeing property and vehicle maintenance an asset
  • Prior experience in a 24/7 environment an asset, particularly in a health or social work environment
  • Prior experience participating in accreditation, strategic planning an asset

Academic Experience

  • Completion of a recognized accounting designation (CPA)
  • Courses or certificates in financial management, business management, human resources management and IT are also considered an asset
  • Commitment to maintaining credentials

Expertise and Skills

  • Strong financial and business management acumen, knowledge of accounting procedures and protocols, budget administration and financial forecasting, analysis and reporting
  • Strong knowledge of building and property maintenance, vehicle maintenance.
  • Strong knowledge of business insurance.
  • Advanced proficiency with computerized financial systems (Netsuite), contact management systems
  • Strong human resource management expertise; ability to supervise and mentor staff and engage staff members, ability inspire confidence in team
  • Significant project management experience; demonstrated ability to develop, monitor and evaluate multiple projects with multiple deliverables and deadlines.
  • Demonstrated ability to collaborate effectively and to encourage teamwork.
  • Excellent written and oral communication, presentation, and negotiation skills, in English
  • Demonstrated ability to think strategically, with complex problem solving, decision making and critical thinking skills, and good judgement
  • Supports and promotes a culture that embraces diversity, inclusion and respect

Other Requirements

  • As a key member of the Senior Management Team the Director of Finance and Administration will be required to maintain a cell phone and to be on call to assist during urgent or emergency situations.
  • Maintain a G driver’s license and a vehicle in good condition to be used for business purposes, including routine travel to all of the organizations residences and properties.
  • The successful candidate will be required to provide an up to date Criminal Records Check, with a Vulnerable Sector Check, and a Child Welfare Screening Check
  • As a key member of the Senior Management Team, the Director of Finance and Administration will be required to maintain up to date vaccinations, including for COVID-19, in accordance with Stewart Homes policies in the interest of protecting our vulnerable residents and staff.
