Director of Finance & Operations

Job Description


1) Finance and Accounting

· Takes a leading role in ensuring the financial health of the organization; works with leadership team and ASNS Governance to develop annual budget and rolling 5-year growth plan.

· Develops presents and interprets monthly reports as a core management tool and monitors performance of revenues and expenses against budget lines for all revenue streams. Works with leadership team to investigate and resolve anomalies.

· Prepares financial records for fiscal year-end and annual audit and works with external auditor Treasurer and Finance & Audit Committee/CEO to produce audited financial statements. Responds to and implements processes and controls resulting from audit work.

· Ensures that ASNS utilizes a full-cycle accounting model is in compliance with CRA and that finance and accounting controls processes and policies are in place and monitored for currency.

· Provides support and leadership to the office Coordinator in fulfilment of day to day finance operations.

2) Data and IT

· Takes a leading role in managing ASNS’s client and philanthropy database ensuring appropriate controls and access to leadership team and appropriate staff.

· Takes a leading role in development of data processes to support organizational need.

· Ensures policies and procedures relating to data and its management are implemented understood by relevant parties monitored and revised accordingly.

· Oversees the technology infrastructure of the organization; ensures all staff have required hardware and software to conduct their daily tasks; provides leadership and direction for organizational IT needs including engagement of third-party services as required.

· Proactively identifies opportunities for systems and workflow improvements anticipates risk and potential issues and drafts recommendations for solutions.

· Provides support and leadership to the office Coordinator in fulfilment of day to day data operations and requirements.

3) Human Resources

· Takes a lead role in evaluating existing HR polices and processes; works with CEO and leadership team to create and implement a HR development plan.

· Leads the organization’s HR functions supporting and delegating to the Operations Coordinator as relevant and necessary.

· Maintains currency and relevance of organizational HR processes and policies.

· Ensures ASNS staff are supported in day-to-day HR needs and have access to all necessary documentation.

4) Facilities and Operations

· Provides leadership and direction for all resource and facility requirements for the organization.

· Works with CEO/leadership team to identify operational improvements; creates and implements change management processes.

· Provides direction support and leadership to the Office Coordinator in managing the day-to-day facilities and resource requirements.

· Monitors organizational resource needs; works with leadership team to plan and implement process changes as appropriate and necessary.

The Alzheimer Society of Nova Scotia (ASNS) is the leading not-for-profit health organization working to improve the quality of life for Nova Scotians affected by Alzheimer's disease or other dementias and advance the search for the cause and cure. Since 1983, ASNS has provided help for people with Alzheimer's disease and related dementias and their caregivers – and that help comes in many ways. The organization has grown significantly over the past 5 years and presently employs over 25 well-trained, committed, hardworking staff, including a highly motivated, knowledgeable, and dedicated leadership team who have been working together for 10+ years. As we start to plan for our post-COVID-19 future, we are excited to be able to bring a dedicated Finance and Administration leader to our table and help build a sustainable future.

Reporting to the Chief Executive Officer (CEO), and working closely with the Director of Programs and Services and the Director of Philanthropy the Director of Operations provides senior leadership and management for the organization’s financial and operational processes, administration, data, and HR and plays a vital role in assuring the overall success of ASNS. As part of a strong and focused team the Director of Finance & Operations will bring their financial and business acumen, drive, commitment, and dynamism to this pivotal role and lead a full review of current practice and process and implement positive change.

ASNS is seeking a collaborative professional with a passion for the cause and the energy, strategic foresight, and management experience to make a difference. The Director of Finance & Operations will be an accomplished finance professional and embrace their role in ensuring our operation is effectively and efficiently managed, our team has access to timely, accurate finance and data reporting, and will also play a key role in interpreting that data into action as part of our holistic approach to leadership. A background in or understanding of the not-for-profit sector will be a major asset, however professionals from other sectors looking for a long-term change will also be considered.
The position is required to work out of our office in North End Halifax; our team have been working a combination of remote/home office and in our physical office space through COVID-19, and some remote working will be considered (and may be required according to Public Health Advisories); however, permanent remote working is not possible.
